Call to order

President Sean O'Donnell-Brown called the meeting to order at 7:00 pm.

  • Kelly Fitzgerald for coordinating ISHA Contest concessions and all other contest volunteers

Reports

  1. Secretary's ReportCheryl McGowan: A motion to accept them was made by Cindy Cavett and seconded by Kelly Fitzgerald.
  2. Treasurer's Report – Becca Pettit: A motion to accept it was made by Carol Clemons and seconded by Carol Pircon.
  3. Jr. High School Director's Report – Doug Mattsey
    • Mr. Mattsey introduced Alex Coovert, the 6th-8th grade student teacher.
    • Curriculum money was used to purchase new tympani (cost $9,000), laptop (for use at Edison) and an Elmo.
    • The Edison Fine Arts Expo on March 27th went very well.
    • 5th grade testing process has started. Parent meeting is scheduled for Mon. 4/27/09.
    • Summer lessons will begin June 8th (M-Th for 3 weeks) and then 3 refresher days (8/11-8/13).
    • 7th grade band is doing well and has grown a great deal this year. 8th grade band is also playing well.
    • IESA Contest is scheduled for Friday, May 1st in Macomb. All judges are confirmed. Many volunteers will be needed for this event. Cheryl McGowan agreed to coordinate.
    • There have been 14 requests submitted for band camp scholarships. A motion was made to provide $100/each with additional money to be provided if funds are available. A motion to accept this was made by Cindy Cavett and seconded by Kathleen O'Donnell-Brown.
    • 6-8th grade spring concert is Mon. May 18th.
  4. High School Director's Report – David Wetmore
    • Organizational contest went very smoothly, thanks to all who helped with that.
    • HS Spring concert is scheduled for Sun. 5/3 at 2:00 pm Bands are beginning to work on music for this event.
    • Spring trip will be here soon. Group will meet at 6:30 and depart at 7:00 am on Fri. 5/8. Dress rehearsal will occur on Thurs. evening with luggage check to follow.
    • Marching band will appear in the Heritage Days Parade (last Sat. in June) unless there is not enough interest.
    • Band Camp will begin Mon. 8/3 (8:00 am-12 & 1 – 4:30 pm)
    • Fall Updates:
    • We will not be participating in the WIU Homecoming parade, but will instead go to the U of I competition;
    • We will not attend the ISU competition due to a high number of students involved in confirmation at St. Paul.
    • March-a-thon will be held on Sat. 9/12

Old Business

  • Nominating Committee – The following slate of officers was presented for the 2009-2010 Executive Committee
  • Debit Card – No response has been received from Macomb Education Foundation. The process of card use was reviewed (see below) and will be implemented.

    Because debit card purchases will require only a single authorized signature and will consequently change the terms of our account to require only a single authorized signature for checks, as well, Macomb Band Boosters would like to implement some additional safeguards internally for the protection of the organization and of the individuals who serve on its executive board:

    • The organization will retain only a single copy of the debit card. The high school director will hold that single copy of the debit card except when some other authorized signer requires it for a purchase.
    • Debit card users will need to get a receipt for each purchase and submit all receipts to the treasurer.
    • Only Macomb Band Boosters executive board members (including the school band directors) may act as authorized signers.
    • No authorized signers will use the card without the corroboration of at least one other authorized signer, who will corroborate (at time of purchase or as follow-up to oral corroboration) in writing or via e-mail to the treasurer. At least one band director must give approval for each purchase.
    • Authorized signers will not use the debit or ATM functions of the card. The organization will not retain the PIN for the card.
    • The organization will request a daily spending limit of no more than $200 on the debit card. Authorized signers will request a temporary spending limit increase from the bank when circumstances require.
    • The organization will continue to require two authorized signatures for checks. A representative of the bank has informed me that this will not cause the bank a problem but also that the bank will approve payment for checks with only one signature.

New Business

  • Alumni Fund: After much discussion the group agreed to move the alumni funds currently held in MEF checking account since there is no benefit to this. It was also agreed that the funds would be deposited into a CD. Becca Pettit will research options for discussion at the next meeting. A motion to accept this proposal was made by Kathy Burdick and seconded by Cindy Cavett.
  • Tympani Covers – It was recommended that a sign be placed on the tympani covers to indicate that nothing should be placed/stored on top of them. This was approved and will be sewn on for greater longevity.
  • New bass drum – Mr. Wetmore and Mr. Mattsey requested a new bass drum be purchased for the pit since the tympani was purchased with curriculum funds. A motion to accept this was made by Becca Pettit and seconded by Kathy Burdick.
  • Uniform Storage – Cindy Cavett recommended reorganizing the storage room before schools starts. Will explore the possibility of working with Sue DeRoos (Organize U) on this. Cindy and Lisa Stear are willing to facilitate uniform distribution again this year.
