Call to order

Meeting called to order by president Sean O'Donnell-Brown at 7:00pm.

Reports

  1. Secretary's ReportCheryl McGowan: Cheryl McGowan presented the minutes from the 5/13/08 meeting. A motion to accept it was made by Kathleen O'Donnell-Brown and seconded by Carol Clemons. The report was approved.
  2. Treasurer's Report – Becca Pettit: Becca Pettit presented the treasurer's report. A motion to accept it was made it by Kelly Fitzgerald and seconded by Cindy Cavett
  3. Ways and Means Report – Sean O'Donnell-Brown reported that there was no Ways and Means report per Beth Seaton
  4. Jr. High School Director's Report – Doug Mattsey
    • Mr. Mattsey reported that initially 97 kids expressed interest in 6th grade band; 65 came to lessons this summer. Currently there are 86 in the band. (Usual number is around 70). Instrumentation is very strong and things are going well.
    • Lessons were conducted in early June with 3 review days before school started and a mini concert was held at the end. This was a very successful arrangement and refreshing to get things done early.
    • New horn acquisitions – Quincy University sold off some instruments due to reduced numbers of majors. Mr. Mattsey purchased 2 flutes, 3 clarinets, 3 alto saxes, 1 cornet, 1 single horn, 1 double horn and 1 tuba. Total cost was $2,850.00, but the actual cost would have been around $6,000-$7,000. Most instruments have already been distributed.
    • 7th grade band is currently doing a review of some basic concepts and 8th grade band is sounding very well. Jazz band looks like it will be a very large group this year.
    • There are 15 or 16 kids signed up District auditions on 10/13 in PORTA. District Festival is Sat. 11/1 at WIU.
  5. High School Director's Report – David Wetmore
    • Mr. Wetmore expressed thanks to Sean and all the Marchathon volunteers. This was a very lucrative and fun event. The activities were great and the kids really enjoyed the day.
    • Band Camp was conducted in a new arrangement this year. The group is a little behind right now due to weather issues, but overall things are going very well. The first show was very positive.
    • The band is learning some pep music to play during the game since there are no cheerleaders. Mr. Wetmore is allowing the kids to change after halftime and return 3rd quarter. They will receive extra credit to play 4th quarter. Carol Pircon shared that she has received very positive comments about this from a number of families.
    • Pekin is the first show (9/20). We have done this show previously but not in a number of years. About a dozen bands should be participating. This show was chosen to help prepare for the WIU classic. Schedule for the day: Practice in the morning at 10; leave for Pekin about 1:00pm; Performance at 5:20pm; Awards at 6:30pm; dinner to follow.
    • WIU Classic (9/27) we will perform in class AA class for 1st time due to decreased enrollment. Schedule for the day: Perform at 5:52pm (last band in our class); Awards at 8:15pm; return to school about 9:30pm.
    • ISU Show (10/11) – There are usually about 42 bands; we will be in the smallest class there also. Schedule for the day: Perform at 8:24am; Awards at 10:30am. MHS has never placed higher than 2nd at this show. Depending on how the band performs, there may be an additional trip to Metamora that day which will have a pm parade and a nighttime show.
    • Next week (9/15-9/9/19) there will be a drill book check. Students can check Drop.io/macombbands – password "wetmore" if they need to update their drill books. These checks will occur several times over the quarter.
    • Spring Trip – Nothing definite yet, but this is the year for a big trip. A return trip to Chattanooga on 4/17- 4/18 is being considered, however this is right before the PSAE. We have also received an invitation to play at Alice Tulley Hall in New York on 4/10/08, however hotels and travel costs would be very pricey. Jill Myer suggested that NYU might have some housing available. Other suggestions for New York were to consider host families, staying in a church basement etc.

    • Volunteers List Update – List has not been updated on the website yet, Sean will be working on this.
    • Senior Recognition – (Fri. 9/12 at 6:30pm in the commons) Volunteers: Kathleen O'Donnell-Brown, Becky Schluter, Jan Detrick, and Cindy Cavett. Cheryl McGowan will send a reminder email out to all band families.
    • Ice water table volunteers
      • Sept. 12: Cheryl McGowan & Kelly Fitzgerald
      • Oct 3: Carol Pircon, Cindy Cavett, and Kim Johnson
      • Oct 17: Dee Kirwan, Joanne Hooper
      • Website notes archive: This is a great spot to store notes for things we do—event checklists, event summaries to help chair people the following year etc. Email items for storage to Sean.
  • Uniform and shirt distribution review
    • Jan Detrick reported that Mr. Wetmore has the Marching Band t-shirts, but she does not believe she ordered enough.
    • Dee Kirwan is working on the Jr. High shirts. Cost looks to be $15/shirt which is cheaper than we expected.
    • Concert Uniform Measurements – tentative date is 10/28.
    • Discussed the need to solicit recycled Jr. high shirts and concert uniforms. Cheryl McGowan will send out an email to all families requesting these be sent in to the band director in the next 1-2 weeks.
  • March-a-thon Update – This year's event was very successful raising over $5,700. Next year's event will also start at 11am and then break for games. Laps will again start at 1:00 pm. Mr. Wetmore stated that the Macomb Eagle would like to do a follow up story. Cheryl McGowan will send an email requesting photographs to be sent to Sean to put on the web etc. Also discussed emailing families about marchathon in advance next year because some freshman families did not know what it was. May also consider selling a marchathon shirt as a fund raising component

New Business

  • Chili Supper – Dee Kirwan is in charge. Time will be 5pm-7pm as in the past, prices will remain the same. Need to be sure that dessert donations do not include cream pies or cheesecakes.
  • Updated Chaperone Policy
  • Volunteer forms need to be completed annually. There will be a link to the form on the website.
  • Instrument and Equipment Storage and Transport
  • This is still an issue; we did not get the Hometown Helper grant last year.
  • Long term budget, spending, and savings policy
  • The plan is to set aside 10% of all proceeds (except from fruit and truffles sales) in a long-term account to use for uniforms and large instruments.
  • High School Spring Trip – discussed in High school report
  • Other new business
    • Discussed the possibility of selling blankets as a fundraiser. Need to check to see if these are available in the spirit booth.
