Macomb Band Boosters Annual Meeting

Call to order

President Mary Kay Benda called the meeting to order at 7:02 pm.

Reports

  1. Secretary's ReportKelly Barsi: April minutes were read by Kelly Barsi; a change was made to reflect that the new Superscope system was used to amplify, not record, a junior high in-school jazz concert. Maureen Wallen moved to approve the corrected minutes. Carol Pircon seconded; minutes were approved.
  2. Treasurer's Report – Gina Colley: The report was presented by Gina Colley. There was some discussion of the Alumni fund: those funds are kept in a separate account and are intended for long-range purchases such as instruments, uniforms, etc.; the Ways and Means Committee will be involved in the planning and designation of the fund. It was suggested that some of the money could be put into a CD or other better interest bearing account until needed. Maureen Wallen then moved to approve the Treasurer's report. Becca Pettit seconded and the report was approved.
  3. Jr. High School Director's Report – Doug Mattsey
    • Mr Mattsey reported that the Edison Fine Arts Expo provided an opportunity for both a morning demo at school as well as an evening public concert.
    • Both band directors are very impressed with how well the 6th graders are performing despite the lack of personal attention due to the splitting of classroom time between band and choir.
    • Between 50 and 60 6th graders will continue in 7th grade band; 7th and 8th graders also have good numbers continuing.
    • Organizational contest went extremely well; the judges commented on the good sound and said the students played "above their years." Mr. Mattsey thanked the chaperones who attended.
    • Mr. Mattsey thanked the Boosters for the Camp Scholarship money; he mentioned that one child needs additional assistance.
    • The Performing Arts Society will provide some money for camps; he has the applications available for families to apply.
    • There have been some parent complaints to the administration regarding Sunday concerts; therefore, the junior high may not do the combined concerts with the high school bands on Sundays next year.
    • Junior High Variety Show auditions are May 23, the Show is May 29.
  4. High School Director's Report – David Wetmore
    • In Mr. Wetmore's absence, Mary Kay Benda reported that both bands received stratight I ratings at Contest.
    • Spring Concert is May 6; report time is 3:10, performance is at 3:30. The concert will include Senior solos and band awards.
    • Graduation is May 19; band members report to Western Hall at 6:30.
    • Heritage Days Parade is June 23; Mr. Wetmore is the Grand Marshall. Details TBA.
    • Freshman/new student marching mini-camp, August 1–3; full band camp, August 6–17.
    • U of I Competition is October13, but there are so many sports conflicts the band may compete at the ISU Competition on October 21 instead.
    • Mr. Wetmore is still finalizing plans for next fall's marching band show; the band will be smaller due to the large number of graduating seniors in 2007.

Old Business

  1. Junior High Camp Scholarships Mr Mattsey stressed the importance and benefits of camp attendance in kids' lives, and also emphasized the need to build the band program from the junior high level. Camp costs approximately $350.00 per student. Maureen Wallen moved to authorize up to $500.00 for scholarships. Colleen Carlson seconded and the motion passed.

New Business

  1. Election of Officers Colleen Carlson moved to accept the slate of officers as presented: Sean O'Donnell-Brown, President; Kelly Fitzgerald, Vice President; Becca Pettit, Treasurer; Kelly Barsi, Secretary. Maureen Wallen seconded and the motion was approved.

  4. Al Sears Jazz Festival Update: Cindy Cavett reported that the Committee had not yet met, but she had questions as to the profitability/feasability of the fund raiser. The one food vendor last year had a $750.00 profit. Weather is also a concern. There was discussion of what would be a good higher profit item to sell. Suggestions included pulled pork sandwiches and wraps, lemonade shake-ups, popcorn, caramel apples. Booth cost is $50.00 and is due by May 15 to reserve a spot. Cindy asked for a $50.00 commitment to hold a spot, and the committee will research and explore options and feasability. Maureen Wallen moved to approve the $50.00, Colleen Carlson seconded and the motion passed. Maureen suggested asking Debbie from the Bread Store for donations or a good price if needed. Becca Pettit will assure compliance with Health Department Regulations.
  5. 2007-2008 school year information:
    • Summer lessons (6th graders), July 23 – August10.
    • Chili Supper, October 22
    • Concert Band Camp, November 16–17
    • Holiday Concert, December 9
    • Spaghetti Supper, February 18 or 25
    • Junior High Solo and Ensemble Contest, February 23
    • Junior High Organization Contest, April 25
    • Super State, May 3
    • Spring Concert, May 4
    • Junior High Spring Concert (if not Sunday), May 15
  6. Booster membership dues for 2007-2008 – Per the Constitution, dues for the next school year are to be set at this meeting. After some discussion, it was decided to keep the dues at $25.00 per family. Families may contribute more if they wish to, without special recognition. Corporate sponsors will be sought via letter at the beginning of the school year. Letters will also be sent inviting parents of recent alumni to join Band Boosters for the regular dues of $25.00. Becca Pettit suggested that Corporate letters be followed up by a personal visit. It was also suggested to include an option on the Membership form to give an amount above the $25.00.
  7. Other new business:
    • Volunteer needs for next year:
      • Chaperones chair to replace Maureen Wallen
      • Membership coordinator
      • Alumni fund, update database
      • March-a-thon/Button Drive chair
      • Uniform assistance
    • It was suggested to include the needed positions and a description of their duties in the summer letter Mr. Wetmore sends home to parents in June.

Mary Kay extended many thank yous per the agenda.

Maureen Wallen moved to adjourn. Gina Colley seconded, and the meeting was adjourned at 8:28 pm.
