Notes: Spaghetti Supper

- call school food service (2008: Aramark, Christie Smith, 837-2335); based on organizer's and food service notes, plan date and serving time, menu, beverages, serving setup, use of trays, use of cash drawers, use of knives and spatulas for dessert prep, use of "dessert serving room", use of cleaning supplies (wash cloths, buckets, sanitary solution), and anticipated numbers:
- 2009 – 397 adult, 137 child (all concert and jazz ensembles)
- 2008 – 306 adult, 78 child (6 grade, larger junior high Solo & Ensemble groups, high school concert and jazz ensembles)
- 2007 – 476 adult, 139 child (all concert and jazz ensembles)
- call McDonough Health Department (Chris Adams, 837-9951, ext 217) to notify them of Boosters' intention to use food services's license, of the ways that we communicate important food safety related information (mailing, website) in serving food and to get related instructions and precautions (see Guidelines for Bake Sales from the McDonough County Health Department)
- call Coca-Cola Bottling of Macomb ("Sara", 833-4131) to arrange or ask Mr Wetmore to arrange for soda (Coke, Diet Coke, Sprite) and cups; feel free to ask for extra cups (we can return what hasn't been opened); if we tell Coca-Cola Bottling total number expected, they will have a good idea of the proportion of various sodas
- arrange with band directors to get electronic rosters or mailing labels for a home mailing (PDF format is usable; reqest Excel or delimited text format, if possible)
- need rosters for each of the following:
- high school
- junior high school
- Edison
- St. Paul
- request the following information be included in the lists (phone and e-mail to contact volunteers or potential volunteers):
- parent(s) name(s)
- full mailing address
- phone
- e-mail
- mailings
- tickets
- volunteers & dessert donations
- arrange with Boosters treasurer for change (ticket sales, bake sale, and membership table)
- acoustics issues
- turn off lights over audience as each performance begins (breakers 1-8 in MHS Commons)
- post table tents asking audience to minimize noise during each performance
- set up additional tables in commons outside of commons
- set up additional chairs for non-diners
- use microphone announcements to ask audience to minimize noise during each performance
- mic the ensembles
- angle tables so that the music can travel between the tables
